Privacy and Cookie Policy

1. Who we are

Loga Agency LLP ("Loga", "we") is the data controller for the personal data described in this policy. We are registered in England and Wales under number OC457591, with our registered office at 25 Bull Bridge Way, Chilmington Green, Ashford, Kent TN23 8AH. We follow the UK GDPR and the Data Protection Act 2018. Where we work with clients in the EU, Australia or the US, we also respect the privacy laws that apply to them.

2. What we collect

• Contact and business details: name, email, phone, job title, company and billing details, when you enquire, book a call or become a client.
• Project information: briefs, files, feedback and messages you share with us through email, Asana or Slack. These may include personal data about your team or customers.
• Website data: basic technical data such as IP address and browser type, collected by our website host and the services listed in section 7.

We don't sell personal data, and we don't use it for automated decisions about you.

3. Why we use it, and our lawful basis

• Replying to enquiries and booking calls: legitimate interests.
• Delivering the services and managing your account: contract.
• Invoicing and keeping financial records: legal obligation.
• Occasional updates about our work to business contacts: legitimate interests (you can opt out anytime).
• Keeping our website and systems secure: legitimate interests.

4. Who we share it with

We use trusted service providers to run Loga. They only process data to provide their service to us.

• Webflow: website hosting and forms.
• Google reCAPTCHA: spam protection on forms.
• Calendly: booking calls.
• Google Workspace: email, calendar and spreadsheets (including invoice tracking).
• Asana: client project boards and requests.
• Slack: client messaging.
• Figma and Canva: design work and invoices.
• Claude (Anthropic): AI assistant that helps us organise our day and draft work, with access to work email, Asana and Slack.
• Our bank: receiving payments by bank transfer.

We may also share data with professional advisers (such as our accountant), or where the law requires it.

5. International transfers

Some of these providers store data outside the UK, mainly in the US, and some of our clients are in Australia and the EU. Where data leaves the UK, we rely on UK adequacy regulations or the UK International Data Transfer Agreement (or Addendum to the EU Standard Contractual Clauses) offered by the provider.

6. How long we keep it

• Enquiries that don't become clients: 2 years from last contact.
• Client project files and messages: the length of the subscription plus 2 years.
• Invoices and financial records: 6 years (HMRC requirement).
• Business contacts for updates: until you opt out.

7. Cookies

Our website uses only cookies and similar technologies that are needed for it to work. We don't use analytics or advertising cookies, so we don't show a cookie banner. If that changes, we'll ask for your consent first.

• Webflow: runs the website. Essential.
• Google reCAPTCHA: stops spam on our forms. Essential; Google's privacy policy applies.
• Calendly: booking widget on the homepage. Sets cookies only within the booking widget; Calendly's privacy policy applies.
• Google Fonts: displays our typefaces. No cookies; your IP address is sent to Google.

You can block or delete cookies in your browser settings. Some parts of the site, such as booking, may not work without them.

8. Your rights

You can ask us to access, correct, delete or restrict your personal data, to object to how we use it, or to receive a copy in a portable format. Email hello@logaagency.com and we'll reply within one month.

If you're unhappy with how we handle your data, please tell us first. You also have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk or on 0303 123 1113.

9. Security

We use reputable providers with strong security, two-factor sign-in where available, and access limited to Helen and Grant. No system is perfectly secure, but we take reasonable steps to protect your data.

10. Changes

We'll update this policy when our tools or practices change, and show the date at the top.
